What is exhibitor manual?

An exhibitor manual is the document that tells an exhibiting company what they must supply, order and comply with before the doors open. It covers build-up times, stand rules, health and safety, deliveries, services to order and the dates each of those is due.

What it has to cover

Access and build-up schedule, stand construction rules and height limits, electrical and rigging requirements, fire and safety compliance, delivery and storage, waste and dismantling, plus the ordering deadlines for anything the organizer or venue supplies.

Why the PDF fails

A sixty-page PDF is sent once, read by one person at each exhibitor, and immediately out of date. The deadlines inside it are invisible to anyone tracking progress, so the organizer ends up rebuilding the same list in a spreadsheet to know who has submitted what.

The manual as a task list

The same content delivered as dated tasks in the exhibitor portal turns a document into a workflow: each exhibitor sees what is outstanding, the organizer sees who is behind, and reminders send themselves.
