What is lead retrieval?

Lead retrieval is the system an exhibitor uses to capture a visitor's details at their stand, usually by scanning the badge, and to add context to that contact while the conversation is fresh. It turns a conversation on the floor into a record the exhibitor's sales team can follow up.

What a lead record should contain

A scan on its own is a name and a company, which is not yet a lead. A usable record adds who scanned it, when and where, what the visitor said they were looking for, how qualified they are, and a note. The best systems make that take five seconds on a phone, because anything slower gets skipped at a busy stand.

Why it decides whether an exhibitor rebooks

Exhibitors do not renew because the event was well run. They renew because they can point at a number. If the lead report is ready before they leave the hall, the rebooking conversation happens while the value is obvious; if it arrives as a spreadsheet a week later, the decision has already been made.

Where organizers usually get it wrong

Buying lead retrieval from a separate vendor means the leads live outside the registration data, so the organizer cannot see how many were captured, which stands underperformed, or what a zone is worth. When scanning writes to the same record as the booking, that reporting is free.
